This update adds Indefinite Rentals and Work Orders, our new QuickBooks Online Transactions Integration for invoice and payment syncing, and several workflow improvements that make billing, logistics, and inventory management more flexible.


🚀 New Features

Indefinite Rentals & Work Orders: You can now create rental orders and maintenance work orders without an end date.

  • For rentals: turn on the Indefinite toggle in the Dates section to keep equipment out on rent and unavailable until you’re ready to close the order. Ideal for ongoing month-to-month rentals.
  • For work orders: Clear the end date to keep hard-down items unavailable until closed. Indefinite work orders won’t show as overdue; dated ones show as overdue once past the end date.

QuickBooks Online Transactions Sync: Sync individual invoices and payments directly from Renterra to QBO.

  • Each line item is transferred for full transaction detail and accurate reconciliation, keeping Renterra as your system of record.
  • Admins can map ledger accounts, customers, and items for precise one-way sync.

💡Improvements

  • Logistics Notes: Add and manage detailed delivery and pickup instructions with a new Logistics Notes section on orders. These notes display on Dispatch and in Deliveries/Pickups, where drivers can also edit them directly.
  • View Transfer History for Inventory: Track every move of your equipment with the new Transfer History drawer on each item’s detail page.
  • Send Void Invoices to Customers: After you issue a refund, the Send Invoice button appears automatically so you can share the voided invoice with refund details.
  • Customer Payment Terms on Quick Sale Invoices: Quick Sale invoices now automatically apply the customer’s configured payment terms instead of defaulting to one day.
  • Storefront Quote-Only Mode: A new "Allow Unavailable" setting in Admin > Storefront lets customers add unavailable items to the cart and create quotes regardless of availability.
  • Print/Download Maintenance Work Orders: Generate printable PDFs of maintenance work orders, including job summaries, item details, and totals.
  • “Item Number” Field for Serialized Inventory: Admins can now track serialized equipment using a dedicated Item Number field.
  • Include Slots in Recommended Items: You can now mark entire equipment slots, not just individual items, as recommended.
  • Auto-Extension for Manual Cycle Invoices: Added a checkbox to automatically extend orders when manually creating cycle bills. Checked by default if auto-extension is enabled.

🛠️ Bug Fixes

  • Print Sales Tax Summary PDF Display: Fixed layout issues that caused overlapping text when printing summaries with many tax locations. Reports now export and print clearly.

This update introduces Advanced Analytics with custom dashboards and scheduled reporting, along with Line Item Notes, new Admin controls, and other refinements that make daily workflows smoother.

Advanced Analytics: Introducing a new way to analyze your data. Choose between Simple and Advanced Analytics modes:

Turn Certain Modules On/Off: New Features card in the Admin tab lets you easily enable or disable features like Advanced Analytics mode and Dispatch based on your team's needs.

Line Item Notes: Add optional notes to individual line items on orders and work orders. Line item notes can be displayed on invoices based on your organization settings or per-invoice display preferences.

Overdue Filter on Dispatch: Quickly identify and manage missed dispatches with the new Overdue filter in Dispatch view.

Download Quote: Generate a PDF quote directly from the send quote dialog without emailing the customer first.

  • Delivery/Pickup View Filters: Filter settings in logistics view now save automatically and default to showing your assignments plus unassigned items.
  • Point of Contact Columns on Order table: Point of contact email and phone numbers now appear as columns in the order table for quick reference.
  • Custom Statement Footers: Organization footer notes now appear on statements, allowing you to replace the default footer messaging with your company-specific information.
  • Driver License Verification: Automatically send SMS verification links through Vouched when creating new customers, streamlining identity verification during intake
  • Printable Tax Summary Page: Print tax summaries as PDFs directly from the Tax Summary page for easy documentation and record keeping
  • Search Bar Memory: Search bar retains your last search, saving time on even when clicking into search terms, reducing the need to retype search terms.
  • Edit Billing on Closed Orders Label: "Issue Credit Memo" has been renamed to "Edit Billing" for clarity when modifying closed orders
  • Admin > Document Settings Location: Invoice and Quote settings have moved to a dedicated Document Settings section in Admin (previously in Orders settings) for easier access
  • Special Rate Ordering - Drag and drop to reorder special rates, controlling which rates appear first when creating orders

This changelog delivers one of your most requested features—dispatch is now fully mobile! Manage operations from anywhere, while drivers get everything they need in one view—deliveries, pickups, and private notes all in one place. Plus, we've added customer merging, automatic PDF quotes, and more.



🚀 New Features

Dispatch Management on Mobile: Access the full dispatch board on your phone. Assign and reassign deliveries from anywhere, giving managers flexibility on the go.

Combined Deliveries/Pickups View: Drivers can now see pickups and deliveries in a single screen. Switch between pickup-only, delivery-only, or all jobs at once, reducing extra app navigation.

Private Notes Displayed on Dispatch Cards: Drivers see private notes directly on order cards, so they have the right context without opening each order.

Send Quote Includes PDF: Quote emails now include a PDF copy that follows your chosen display preferences for prices, rates, or both.

Customer Merge Tool: Admins can now merge duplicate customers. The tool shows both records side by side so you can pick which details to keep, keeping your customer list accurate without losing notes or addresses.


💡Improvements

  • Maintenance Assignments Display: Work orders behave like dispatch tickets: once assigned, they disappear from other users and only show for the assigned employee.
  • Overdue Hard Downs Show as Unavailable: Items with overdue hard downs now always show as unavailable until the related work order is closed, reducing rental risk.
  • SMS Driver License Verification: Speed up customer verification. When creating or editing a customer, easily send them a text link to complete license verification on their phone.
  • Audit Logs for Customer Intake: Customer pages now include an audit log showing when intake forms were filled out, adding visibility to recent activity.
  • Maintenance Tax Editing: You can now edit tax-exempt status on work orders even before line items are added. The billing summary always shows the tax option. Work orders now fetch and update tax rates even if previously set to tax exempt.
  • Order Creation Protection: The “Create Reservation” button now disables after the first click, preventing accidental duplicate orders.
  • Portal Payment Method Filters: The customer portal now only shows payment types you’ve enabled, preventing confusion or failed payments from unused methods.

🛠️ Bug Fixes

  • Portal Notification Names: Customer portal request notifications now always display the correct customer name, even when multiple users are on an account.
  • Dispatch Empty State: Fixed the “Add Driver” button when the dispatch board has no driver columns.

This changelog brings powerful workflow improvements including our new Maintenance Kanban board, plus enhanced accounting flexibility with custom ledger accounts and other Chart of Accounts customizability.


🚀 New Features

Maintenance Kanban Board – Visualize and manage your maintenance workflow with drag-and-drop assignment. Each column represents a staff member, with cards showing customer, severity, dates, and item being serviced. Filter by date range to focus on upcoming work.

Chart of Accounts Customization - Create your own ledger accounts beyond the built-in system accounts. Choose from all five standard account types (Asset, Liability, Equity, Income, Expense), add descriptions, and edit or archive as needed. Search and filter make finding accounts instant.

Order Duration Accepts Billing Cycles – The order duration field now recognizes “c” to denote billing cycles (for example, entering “2c” sets the duration to two billing cycles). This makes it easier to create orders aligned to cycle‑based billing periods.


💡Improvements

  • Customer Portal Impersonation: Administrators can securely view the Customer Portal as a customer to help with support and troubleshooting. A one-hour session opens the portal in a new tab.
  • Track Who Closed Maintenance Tickets: A new "Closed By" column and filter allow you to quickly see which team member closed a maintenance ticket and filter by closer.
  • Complete QBO Account Mapping Required: The QuickBooks integration now enforces that all Renterra ledger accounts are mapped to QBO to prevent sync errors.
  • Customer Details on Quick Sale Screen: When creating a quick sale, the customer summary now appears at the top of the form. This helps you verify the customer's contact details and credit status before finalizing the sale.
  • Timestamped Contract Signatures: Custom contracts now show the date and time beneath the signature so you have a clear record of when the agreement was signed.

  • Send Bad Debt Invoices: You can now email a bad debt invoice to collect payment when a customer is ready to settle the balance.

Inventory Kitting

Bundle multiple items together and rent them as a single package. Perfect for setups like skid steers with attachments or bundled packages for party and event rentals. With Kits, you can:

  • Build flexible Kits with any mix of your Inventory items
  • Set bundled pricing for a Kit—no need for item-by-item calculations
  • Add Kits to orders with all items automatically included and tracked
  • Display Kits on your Storefront for easy customer requests

💡Improvements

  • Transparent Payment Processing: Customers paying online now see the total amount including credit card fees before submitting payment. The system displays both the base amount and fee separately, eliminating surprise charges at checkout.
  • Quick Cash Calculator: When cash is selected as payment method, a calculator icon appears. Enter the amount received and the system automatically computes change due with denomination breakdown—no more mental math at the counter.
  • Customer Swapping Flexibility: Change the customer on an order as long as no billing or payment records exist. This makes it easy to fix mistakes or reassign orders before invoicing. The contact can be updated anytime.
  • Streamlined Discounting: New Discount % field on Quick Sale screen automatically applies percentage discounts to invoices. Located right under the Tax-Exempt checkbox for easy access.
  • Enhanced Dispatch Board: The Unassigned column now includes filters to show only on-rent or called-off orders. Order cards display status icons for called-off and picked-up items, helping dispatchers prioritize at a glance.
  • Improved Customer & Maintenance Views: Customer names saved in lowercase are automatically capitalized throughout the system. Maintenance summary pages now include a customer card for complete context.
  • Cleaner Maintenance History: Updated styling with colored status dots, clearer icons, and optional connector lines between maintenance events for better visual flow.
  • Refined Slot Selection: Consistent fonts, centered cards with outlined borders, proper text wrapping, and improved spacing make slot selection more intuitive.
  • Smart Archive Controls: The inventory archive button automatically disables when archiving isn't allowed, preventing confusion about why an action might fail.
  • Easier Date Editing: Backspace through date fields to change just the year without re-entering the entire date—small improvement, big time saver.
  • Better Quote Formatting: Quote emails now include proper spacing before currency symbols for improved readability.
  • Polished Storefront Display: Price chips hide unnecessary ".00" for whole dollar amounts while preserving cents when needed. Loading skeletons are confined to item cards rather than covering filter controls.

🛠️ Bug Fixes

  • Invoice Payment Accuracy: Fixed mismatches between invoice paid amounts and joined payments. Fully paid invoices no longer incorrectly show as "processing."
  • Storefront Security & Availability: Resolved data leak in storefront availability API. Items with "soft" maintenance status (non-critical work) now correctly show as available for rent.
  • Duplicate Customer Prevention: Creating online quotes no longer generates duplicate customer records when a matching customer already exists.
  • Date Field Behavior: Corrected various date editing issues across order forms
  • UI State Management: Fixed disabled states for archive buttons and alignment issues in slot card layouts
  • Loading State Refinement: Full-page loading indicators no longer appear during filter updates on the storefront

Renterra now gives you full control over your rental pricing—designed to match how you actually run your business.


You can now:

Create custom rate types: Set up to 10 rates with your own names and durations—think “Half-Day,” “3-Day Bundle,” or whatever fits your rental model.

Set weekend pricing automatically: Charge different rates for weekends (Friday–Monday) without manual changes.

These updates make it easier to offer the right pricing for every customer and scenario. Start customizing your rates today!

A New Standard in Customer Identity Verification with Renterra

We’re excited to introduce a powerful new feature designed to enhance trust, reduce fraud, and streamline operations across your rental business: Vouched Driver’s License Verification. The Vouched integration provides a seamless multi-step ID verification process. Here’s how it works:

  1. Customers are prompted to upload front and back photos of their driver’s license.
  2. They then take a real-time selfie.
  3. Vouched uses facial recognition technology to match the selfie to the license.
  4. If the match is successful, the customer’s license status is marked as “Verified” (green) in Renterra.
  5. A downloadable report is added to the profile, including all verification data.

This tool not only helps meet compliance standards but also prevents fraudulent rentals before they occur.

📣 Important Note: Renterra customers will receive 10 free verifications each month. After the allotted 10, Renterra will pass along the additional costs.
