Custom Roles and Fine-Grained Permissions

Renterra's built-in roles don't always match how your team is actually organized. Custom Roles lets you define your own roles and control exactly what each one can see and do.

There are now over 100 permissions covering every area of the app. Create a role, give it a name and description, and set its permissions. Assign teammates to it like any other role, and update permissions anytime as responsibilities change. Your existing roles keep working, so nothing changes until you decide to add your own.

Admins can set this up in Admin > Team, under the Permissions tab.

Book Time With Our CPA

Accounting questions come up, and it's not always clear where to get an answer. You can now book time directly with our CPA from inside Renterra.

Look for the "Have a question? Book time with our CPA" button on the Accounting pages to grab a time.

Add a Message When Sending Emails and SMS

When you send something to a customer, you often need to add context, for example that a contract needs to be re-signed or that an invoice was voided.

You can now add a custom note to the subject or body from any send dialog, without editing your saved templates. The note applies just to that send.

This works across the app wherever you send communications to a customer.


💡 Improvements

  • Rearrange line items on Billing Summary and Invoices: Drag and drop line items into any order on the Billing Summary, and that order carries through to the documents your customers see.
  • Public quote link in Send Quote messages: Quote emails and texts now include a link to the public quote page so customers can view it right away.
  • Filter parts below minimum stock: Quickly filter the Parts list to just the parts that have dropped below their minimum stock level, so you know what to reorder.
  • Four decimal places on tax rates: Predefined taxes and fees now support up to four decimal places and display the exact rate on invoices and contracts, so a 6.625% rate no longer rounds to 6.63%.
  • Create an order from a customer profile: Start a new order from a customer's profile and their details are filled in automatically.
  • Driver's license verification for company customers: The intake form now supports DL verification on company-type customers, not just individuals.
  • Backdate statement payments: Statement payments can now be recorded with their actual receipt date, matching how backdating already works elsewhere.
  • Sales Tax Report follows your accounting basis: The Sales Tax Report now defaults to Accrual or Cash based on your organization's accounting basis instead of always defaulting to Cash.
  • "Create Adjusting Entry" replaces "Create Credit Memo": The ledger action is now labeled with clearer accounting language.
  • New columns on the Invoices table: Two additions to the Invoices table: Account Type, so you can see and filter by whether a customer is cash or account, and billing Period Start and End.
  • Rental packet respects your deposit settings: If deposits are turned off for your organization, they no longer appear as an option in the rental packet, so staff can't select them by mistake.

🛠 Bug Fixes

  • Re-rentals billing $0: Re-rental lines could bill $0 when a longer rate was toggled off. Fixed.
  • Items showing available while on order: Paging to a later month now keeps the end date in sync, so availability stays accurate.
  • Contract signatures in rental packets: Signatures weren't always captured when a contract was sent inside a rental packet. Fixed.
  • Intermittent loading issues on the Orders table: The Orders table now loads reliably for high-volume accounts.
  • Last Communicated date on invoices: The Last Communicated column could show blank even after an invoice was sent. It now shows the correct send date. Fixed.

🔜 Upcoming

  • Enhanced Checklists: Build checklists that attach to all order checkpoints, work orders, and maintenance schedules. People completing them can thumbs up/down, upload media, and add notes per task, and full history is preserved showing exactly what was entered and who entered it.
  • Item Timeline: A single timeline view of everything that has happened for an item.
  • Allow Overpayments: Accept an overpayment and automatically apply the difference as customer credit.
