🚀 New Features
Automatic Fuel Billing
Your team is already recording fuel levels at checkout and check-in. Now Renterra uses the difference to auto-calculate a fuel charge and add it to the invoice, no manual line items needed.
Set the fuel type, unit, and tank capacity on each machine (an AI lookup can suggest capacity based on make and model). When equipment comes back, the fuel charge auto-adds to the billing summary based on what was used.
To get started, Admins map fuel types to sale items in Admin > Orders > Fuel so pricing and stock flow through your existing inventory.

Billing Grace Periods
Equipment comes back a few minutes late, but that shouldn't always mean an extra charge. Grace Periods let you set a buffer by rental duration so small overages at check-in or call-off don't auto-extend billing.
For example, give 1-day rentals a 10-minute grace and 1-week rentals 30 minutes. When a return falls inside the window, billing stays as-is. You can still override on any individual check-in if you want to extend.
Admins can set up brackets in Admin > Rates > Grace Periods.

Automated Receipt communication: Receipts now send automatically when an invoice is paid in full, joining your other automated customer communications. Toggle Enable SMS and Enable Email in the template settings.

Auto-convert quotes to reservations on contract signature: New order automation setting that flips a quote to a reservation the moment a customer signs the contract, so signed quotes stop sitting in the quote bucket. Configure the new "Quote Conversion Failed" notification to get alerted if a quote can't convert because of item availability.

Auto-save cards on statement payments: When a customer pays a statement invoice, the card is automatically saved to their profile for future use, matching the regular invoice payment flow.

Cardholder name on payment forms: Cardholder name is now captured anywhere you take card payment in Renterra. If a payment is later disputed, you have a name on file to match against the card.

Vendor catalog browsing on Purchase Orders: A new "Catalog" button when creating a Purchase Order lets you browse the vendor's catalog and add items directly to the PO.

Expanded media support: Videos and PDFs attached to the order timeline now preview directly in the gallery, no download needed. Media upload modals across the app also accept plain text, CSVs, Word docs, Excel spreadsheets, and PDFs in addition to images and videos.

New notifications: Get notified when a Work Order is Created (including from maintenance schedules) or when an Item is Checked Out.

Slot improvements: The calendar on the slot detail page now displays per-location availability. Checklists set on a slot can now apply to each item inside, not just the slot itself.

Unlimited Recommended Items: Add as many recommended items as you want on an item. Auto Generate still proposes up to 3.

"Extend End Time by Existing Duration" admin setting: New checkout behavior setting to auto-check the "Extend End Time by Existing Duration" option.

Outstanding tax follows outstanding balance: When an outstanding balance is cleared, outstanding tax now zeroes out alongside it instead of sometimes showing $0.01.
